If your LinkedIn and Instagram feeds are being flooded 🌊 by Think Tank posts and wondering how BIG this event was, it was only 50 people. Pound for pound, the sheer volume of LOVE and enthusiasm for what happened at this event is sure to translate to massive marketing VALUE that is disproportionately greater than traditional conferences. And here’s the thing… Not only is everyone cool with it, they’re IN on it! 🤩 How do you create an event like this that people love so much that we spend $0 in marketing every year and yet keep growing? Rule # 1 - Foster BELONGING āœ… be clear about who it’s for (Head + Heart leaders who are dissatisfied with the status quo) and who it’s not for (people pushing for sales) āœ… we do prework, group work, and virtual meet ups BEFORE the event āœ… find like-hearted people with shared or complimentary motivations (their WHY) āœ… mix up seating, create small group exercises and discussions, and give enough reasons for people to talk together about things that matter. Don’t leave it to ā€œnetworkingā€ (most people hate it). Give them real things to discuss. People bond over IDEAS not bios. Rule # 2 - Be Transparent āœ… Let them know the cost upfront, the agenda, the role of sponsors, the way you’ll create content, what parts are experiments and everything else about your goals of the business. Rule # 3 - Deliver the Goods! āœ… Surprise and delight your audience that begins with EMOTIONS and ties together practical solutions to help them achieve success āœ… Work with your facilitators ahead of time. Rehearse. Practice. Improve. MOST conferences allow speakers to basically wing it up there. 😳 We didn’t. Rule # 4 - Make the small details count āœ… Venue, food selection, music, workbooks, swag bags, soft t-shirts, name tents and every other little detail should let them know one thing very clearly —> you value their time and appreciate them. āœ… We didn’t wear our shirts or do group photos until the last day when we’re at PEAK trust and rapport. When people seek out your branding so they can take photos with it, you’ve captured their hearts. Rule # 5 - Be Human āœ… Show your fun side, your vulnerable side; your professionalism; the REAL you. People care about the people behind the brands. Our group members are sharing long form posts, multiple posts, videos, photos and more. They’re sharing what they learned and more importantly how they FELT. They’re commenting on and sharing each others’ posts and supporting each other. THEY are generating a huge deal of curiosity and interest by people for next year’s event(s)! Here’s the not-so-secret SECRET: Give them your full preparation. Your full heart. Your full measure. Not only will they reward you with their appreciation, they’ll share it with anyone who will listen. šŸ’œ #thinktank2024 #headandheart #lighttheway Think Tank 2024 Sponsors 🫶: Markentum Angie Gray Viking Pure Solutions Dash Media KARE Bella Groves Dual Path Connected Solutions

"Why should I spend money on Digital Twins? What's the ROI?" A prominent Event CEO asked me that last week. This question often arises among event professionals considering the leap into advanced planning technologies. considering the leap into advanced planning technologies. It's understandable, on the surface, digital twins might seem like sophisticated visual aids. However, their impact extends far deeper, fundamentally transforming decision-making and operational efficiency in event planning. At The Imagination Collaborative, we've observed firsthand how integrating digital twins can revolutionise event planning: 1ļøāƒ£ Accelerated Decision Making āœ… Digital twins provide real time, dynamic representations of event spaces, enabling rapid evaluation of various scenarios. āœ… This agility can increase decision making speed by up to 90%, as noted by McKinsey. 2ļøāƒ£ Enhanced Collaboration āœ… By offering a shared, interactive model, digital twins facilitate better communication among teams, vendors, and clients, reducing misunderstandings and aligning visions effectively. 3ļøāƒ£ Risk Mitigation āœ… Simulating various layouts and configurations within the digital twin allows for the identification and resolution of potential issues before they arise in the real world, minimising unforeseen challenges during the actual event. 4ļøāƒ£ Cost Efficiency āœ… Early detection of design flaws or logistical issues prevents costly last minute changes on site. āœ… Optimising layouts and resource allocation within the digital environment leads to more efficient use of budgets. 5ļøāƒ£ Revenue Growth & Stakeholder Buy In āœ… Digital twins help stakeholders visualise the full potential of an event, making it easier to gain sign off from decision makers and secure sponsorships. āœ… When partners can explore immersive previews of activations, they're more likely to invest earlier and at higher value. 6ļøāƒ£ Ticket Sales & Audience Engagement āœ… By crafting richer pre-event experiences and showcasing event highlights through digital twins, we've seen measurable uplifts in ticket sales and attendee anticipation. āœ… Enhanced audience understanding leads to better layout optimisation, increased dwell time, and stronger on site engagement, all contributing to higher ROI. Clients have shared their experiences, noting: ↳ "The digital twin allowed us to visualise the entire event setup beforehand, leading to a significant reduction in on site adjustments." ↳ "Collaborating through the digital model streamlined our planning meetings, cutting down coordination time considerably." In essence, digital twins are not just about visualisation; they're about transforming the event planning process into a more efficient, collaborative, and risk averse operation. I recently attended a conference — big names, great venue, powerful agenda. But the moment I walked in, reality hit: The registration line was a mess. The schedule was unclear. Half the guests didn’t know where to go. And it reminded me — Leadership isn’t proven by logos, sponsorships, or stage lights. It’s proven by coordination, clarity, and respect for people’s time. Sometimes even great events fail not because of poor planning, but because the system wasn’t supported. That’s where Human+AI synergy can quietly fix what humans miss. 1ļøāƒ£ AI for Coordination — real-time guest check-ins, QR code mapping, and digital floor plans to manage flow seamlessly. 2ļøāƒ£ AI for Communication — smart chatbots or WhatsApp API updates to guide attendees instantly. 3ļøāƒ£ AI for Feedback — live dashboards tracking attendee experience, not after the event, but during it. These aren’t ā€œfuturisticā€ anymore — they’re available, affordable, and underused. And yet, many teams still rely on manual lists, last-minute coordination, and one exhausted person behind a counter. The truth—Human effort creates heart, but systems create stability. And both need to work together. Events, like businesses, don’t fail because of bad people. They fail because of disconnected processes. The next time you run an event or project — don’t just ask ā€œwho’s handling it?ā€ Ask ā€œwhat’s supporting them?ā€ That’s what Human+AI readiness really means. šŸ”” Let's connect,Ā PRAVENA K, for more on Virtual Assistance, Personal Branding and Leadership! #HumanAI #EventTech #Teamwork #DigitalTransformation #Automation #FutureOfWork #WorkplaceCulture

AI is going to augment the event planning industry, not displace it. A few weeks ago at The Art of Events on March 31st, I shared this message with an audience of event professionals. Here is why. The demand for live, human experiences is growing, not shrinking. **The global events industry is worth 1.5 trillion dollars and is projected to reach 2 trillion by 2030 (Grand View Research, 2024). **Consumers are spending 65 percent more on experiences than pre-pandemic (Mastercard Economics Institute, 2023). **The Caribbean welcomed 34.2 million tourist arrivals in 2024, surpassing pre-pandemic levels (Caribbean Tourism Organisation, 2024). What AI replaces is the 3am proposal rewrite. The hour spent formatting a contact report. The three days to build a pitch deck from scratch. It frees practitioners to stay in the experience business. So if the sector is growing and AI is a key lever, one of the most important ways to prepare is to learn AI now. I shared these five practical use cases: 1. Client research in 10 minutes, not 90. Use Perplexity, ChatGPT or Claude in Deep Research mode before every new client meeting. Walk in armed with their financials, industry trends, business strategy and leadership bios. 2. Contact reports in 5 minutes, not 90. Paste your rough meeting notes, even a voice note transcription, into Claude. You get a full client-ready report with attendees, decisions, action items and deadlines. 3. Event proposals in minutes, not days. Build a Claude skill from your best proposals. Upload the brief and generate a detailed proposal. If scope changes, regenerate in minutes. 4. Visual renders before a single item is ordered. Use Gemini, Higgsfield or Midjourney to show clients photorealistic room renders and mood videos. Same-session deliverable. Thousands of dollars saved. 5. Content from every event. Drop your event footage into Opus Clip and get 10 pieces of ready-to-post content in 15 minutes. Turn one event into a month of marketing. I see the Jamaican events sector going from strength to strength. The talent, the creativity, and the hospitality are world-class. AI is a lever for expanding our impact and exporting more of our experiences to the world. Big kudos to Deane Shepherd (visionary), Rachel Seaton and the team at Blueprint Events, and host extraordinare Rushane 'RushCam' Campbell for an exceptional gathering. The energy in the room was everything. Ready to learn practical AI skills to enhance your productivity or grow your business? Registration is now open for my next AI Masterclass on Saturday, May 16, 2026 at https://lnkd.in/e3RrupdP.

How I Used AI to Execute World Tech Day XXV: A Case Study in Practical AI Implementation As someone who produces events frequently, World Tech Day XXV was the first time I fully integrated AI into my planning process - and it fundamentally changed what's possible for a single event director to accomplish. Here's what I built: 🌐 FULL PLATFORM DEVELOPMENT Using Lovable , I created not just a website, but an entire ecosystem: → Ticketing system → Participant dashboard → Facilitator dashboard → Volunteer dashboard Each with: → Personalized schedules → QR code check-in capability → Community networking tabs → Review systems → Real-time support access THE GAME-CHANGER: Automatic group assignment (A, B, C, D) upon check-in that displayed rotation schedules in real-time on participant dashboards. This single feature eliminated hundreds of "Where do I go next?" questions. šŸŽØ DESIGN & BRANDING Combined my years as a brand strategist with my eye for design to capture the complete brand vision - then translated it using natural language to Lovable to create exactly what I saw in my head. I designed every touchpoint: → Event stickers → Digital tickets → Step-and-repeat banners → Promotional materials Then used my AI agent to place the orders when designs were finalized. šŸ“¹ TRAINING & COMMUNICATIONS Created video tutorials for dashboard navigation using HeyGen AI, then built an HTML email center inside the admin dashboard using Resend to send beautifully designed communications to participants, facilitators, and volunteers - all styled on-brand. šŸ’” THE RESULT You wouldn't be able to tell me this wasn't a multi-thousand person event by the way the experience was curated. Using AI practically - not as a gimmick, but as a genuine force multiplier - helped ensure we weren't just another tech meetup. We were fully prepared to tackle the future and the expansion of what World Tech Day will become. šŸ”„ SUSTAINABILITY Now that the event is complete, I can repurpose the entire platform for World Tech Day 2026. The full dashboard experience is done and complete - ready to scale. This is what practical AI implementation looks like: not replacing human creativity and strategic thinking, but amplifying it. My vision, my brand strategy, my event expertise - elevated by tools that let me execute at a scale previously impossible for a single director. If you're an event professional, nonprofit leader, or entrepreneur wondering how to actually use AI in your work - this is it. Not theoretical. Not future-focused. Right now. Today. The future of events isn't just about technology on stage. It's about technology behind the scenes making exceptional experiences possible. Onward to 2026. šŸš€ --- What AI tools are you using to elevate your work? Drop them in the comments - let's learn from each other. #AIInPractice #EventTechnology #EventProfs #AITools #Innovation #Lovable #TechEquity #EventPlanning #SmallTeamBigImpact #AIForGood

In today’s fast-changing media landscape, learning never stops. Recently, as a brand, we navigated the challenge of building visibility with meaning—balancing brand imagery with reach, especially for our growing Gen Z audience. This generation is reshaping the CPG world—authentic, expressive, and deeply experience-driven. While I strongly resonate with Byron Sharp’s approach to building mental and physical availability, I’ve realized that without experimentation, true growth opportunities often stay hidden. One such space that has evolved rapidly post-COVID? Live events. With rising purchasing power, audiences today are happy to invest ₹8K–₹10K in experiences that create memories—concerts, festivals, and on-ground activations. But making an IRL experience both impactful and ROI-positive is harder than it looks. A recent music festival collaboration gave me fresh perspective—here are some takeaways that might help anyone planning their next live activation: āœ… Do’s • Build campaign themes that extend beyond a single event. • Focus on measurable engagement—FPD collection, contests, UGC creation. • Keep participation fun and simple—think meet & greets, concert wearables. • Activate an influencer army to drive both on-ground and digital buzz. • Use smart, contextual placements—Spotify playlists, Uber route ads. • Integrate a sales leg—concert combos or pre-event ā€œbuy to winā€ offers. • Ensure you have a core team that truly lives and breathes events—those nuances make all the difference. • Add creativity and personalization—it’s what people remember. • Always do your homework: location, layout, and audience flow matter. 🚫 Don’ts • Don’t partner with inexperienced live event teams—it shows. • Avoid overpaying big influencers; mid-tier creators often deliver better ROI. • Steer clear of boxed setups—open spaces encourage organic interactions. • Unless you’re a beverage brand, skip ā€œchill zones.ā€ Movement = visibility. Some of this may sound obvious—but when you’re in the middle of it, these small details truly make or break your brand experience. These learnings have already changed how I approach on-ground integrations, and I hope they spark ideas for your next live activation too. #Marketing #LiveEvents #BrandExperience #GenZ #MediaStrategy #CPG #LearningByDoing #Lollapalooza #Nivea A big thank you to Nivea India, Geetika Mehta , and Shweta Dalal for this incredible opportunity—and to my amazing team for bringing it all to life! The Met Gala isn’t fashion. It is brand architecture in motion. Every first Monday in May, the world watches what it believes is fashion’s biggest night. Editors document gowns. Stylists are credited. Social media declares winners within hours. But if you are building a brand or advising one, you are observing something far more strategic. You are watching narrative engineered and deployed at cultural scale. This year’s theme, Fashion Is Art, created space for brands to move beyond aesthetics into meaning. The carpet became less about what was worn and more about what was communicated. These are five moments that stood out and the strategic lens behind each. SCHIAPARELLI - Craft as brand thesis Thousands of pearls. Over ten thousand hours of embroidery. Schiaparelli continues to position itself not just as a couture house, but as an intellectual one. The strategy is consistent. Place conceptual craft on the most visible bodies in culture. When execution becomes the story, the brand controls perception before critique even begins. Christian Dior Couture - Cinema as brand language A gown built from 35mm film, extending into delicate strands that connected to her hands. Sabrina Carpenter later performed the same evening, turning the look into a narrative arc. The outfit introduced the idea. The performance resolved it. This is storytelling structured like cinema, where the brand becomes both costume and script. SWAROVSKI - Co chair as brand vehicle A crystal gown anchored by a necklace referencing her own portrait. Swarovski transformed a formal role into a statement on legacy and permanence. Instead of visibility alone, the focus shifted to meaning. The brand did not decorate the moment, it authored it. Maison Margiela - Closing the room Her arrival marked the final chapter of the night. Rihanna does not just appear, she defines the closing narrative. The house she wears inherits that dominance. This is not placement that can be bought. It is the result of cultural alignment built over time. Stella McCartney - Identity as spectacle A concealed entrance followed by a reveal designed for digital impact. The moment spoke to reinvention and relevance. Stella McCartney’s positioning around conviction and modern values aligned with that narrative, making the collaboration feel intentional rather than performative. Beyond these, the carpet offered multiple signals. BeyoncĆ© shifting focus to designers over legacy houses. Bad Bunny reframing accessibility within exclusivity. Lisa turning the body into form. SZA elevating found pieces into couture context. Each one carried a clearer message than most annual strategy presentations. The brands that succeeded were not the ones with the most elaborate garments. They were the ones with the clearest point of view. Every appearance answers a single question before the door opens. Does this build brand equity or borrow from it. Fashion is the medium. Architecture is the message. #LuxuryStrategist

One Event. Three Audiences. Three Different Journeys. One of the most common mistakes in event planning? Designing a single experience and expecting it to work forĀ everyone in the room. But great events aren’t one-dimensional. They’reĀ multi-layered experiences — built for three distinct audiences: 1.Ā The Host Organization (CEOs, Comms Directors, Internal Teams) This group funds the vision and puts their brand on the line. They’re focused on: ↪Brand positioning ↪Strategic visibility ↪High-impact partnerships ↪Narrative control Success looks like:Ā media coverage, reputation lift, and long-tail industry impact. šŸ“ŠĀ Example:Ā Internal teams using post-event surveys and stakeholder interviews areĀ 2.7x more likelyĀ to report higher ROI and audience satisfaction. It’s not just about what happened on stage — it’s about how well it served the brand's strategic goals. 2.Ā Sponsors & Exhibitors They’re not passive supporters — they’re investors looking for a return. They care about: ↪High-value foot traffic ↪Lead generation ↪Brand activation ↪Measurable visibility Success looks like:Ā new business, expanded reach, and reason to renew. šŸ“ˆĀ Example:Ā Coca‑Cola invested €20M to sponsor the Paris 2024 Olympic Torch Relay — with mobile villages, branded concerts, and 15M+ touchpoints. They weren’t just showing up. They were calculatingĀ brand lift,Ā audience reach, andĀ conversion potential. 3.Ā Attendees They are the heart of the room — and they come for aĀ personal experience. They want to: ↪Learn ↪Connect ↪Be inspired ↪Feel part of something bigger Success looks like:Ā new relationships, valuable insights, and a sense of meaning. šŸ’¬Ā Example:Ā Top-tier event planners use detailed post-event surveys to measure NPS, content relevance, and emotional resonance — because that’s what drives return attendance and word-of-mouth. āœ… The mistake? Trying to give all three audiencesĀ the same experience. āœ… The opportunity? DesigningĀ tailored, parallel journeys — each aligned to what those groups valueĀ most — under one cohesive brand story. If you're only designing for attendees, you're missing two-thirds of the strategy. If you're only focused on logistics, you're missing theĀ whyĀ that makes it all matter. I work with CEOs and comms leads to turn events into growth engines — aligning stakeholders, sponsors, and story around a clear vision of success. If you have an event on the horizon, let’s talk about how to map your stakeholders, define the right KPIs, and build an experience that actually moves the needle. This is how events stop being forgettable — and start beingĀ unstoppable.
