Purpose of Warm Email Campaigns

Explore top LinkedIn content from expert professionals.

Summary

Warm email campaigns are targeted messages sent to people who have already shown interest in your brand, aiming to re-engage them and build relationships. The main purpose is to reconnect with potential customers who are familiar with your business, increasing the chances of conversion by addressing their needs and reminding them of your value.

  • Segment your list: Group contacts based on their past interactions, such as previous buyers or those who engaged with your content, so you can tailor messages that feel relevant and personal.
  • Address obstacles: Use your emails to identify and remove barriers to purchase by referencing prior conversations or offering solutions to past objections.
  • Stay visible: Nurture your warm leads regularly with helpful content and updates to keep your brand top-of-mind until they're ready to take the next step.

This is where brands typically go wrong. They spend most of their budget chasing cold audiences. Meanwhile, the warmest leads they'll ever have are sitting in their email list going cold. Someone visited your site three times last week. Didn't buy. Someone bought once eight months ago. Hasn't heard from you since. Someone abandoned checkout. You sent one email. They didn't open it. You moved on. That's money left on the table because your follow-up system is broken. Warm leads don't need to be convinced you exist. They already know you. They already considered you. Something just got in the way. Your job is to remove that obstacle… not to go find someone new. A solid re-engagement sequence costs a fraction of a new acquisition campaign. And it converts better. This could be an abandoned cart email sequence, a retargeting campaign that speaks to what they actually viewed, anything. The world is your oyster. You have many options. Just don’t default to exclusively chasing new customers when you can recapture old ones.

Everyone wants more warm leads. But what if you’re already sitting on a goldmine and just not seeing it? Most founders I talk to say the same thing: “We need more warm leads in the pipeline.” And every time, I ask: “What about the ones who already showed interest but didn’t convert?” And no, I don’t mean your cold list. Not inbound either. I’m talking about past conversations that didn’t convert. Think: → Closed-lost deals. → Ghosted replies. → Stakeholders who said “Not now” 6 months ago. That’s your warm pipeline. And it’s way easier to convert than someone who’s never heard of you. They already know who you are. They’ve heard your pitch. You’ve built context. ↳ All they need now is a reason to re-engage. ❌So how do you do that without sounding like, “Hey, just checking in…”? Here are 4 practical ways to retarget them: ✅Use Trigger Events Look for job changes, funding rounds, or product launches.  “Saw you’re hiring multiple SDRs. Companies we work with use our platform to give new reps warm leads from Day 1 - saves weeks of list building and ramps them faster. Worth a quick chat to see if it could help?” ✅Closed-Lost Nurture Tracks Not your regular newsletter. These are tailored emails that reference past objections. “Last time, budget was a blocker. Curious if that’s shifted—especially with [relevant change]?” ✅Build a retargeting audience with your CRM 📈Export emails of closed-lost opportunities → create a custom audience on LinkedIn or Meta → run ads built just for them. Think: “Still considering a solution for [pain]? Here’s how [customer] made it work.” They might not reply to your email, but they’ll notice when they see your brand again and again. ✅Personalize Like It’s Day 1 Don’t just forward the last thread. 📈Reintroduce value. Add fresh insight. Make it feel like a timely second chance, not a leftover thread. The warmest leads aren't new. They’re the ones who are part of your CRM, hidden under layers of outreach and timing issues. When you’re tracking hidden signals, mapping warm paths → you open up a way for old contacts to surface when they’re ready to buy again. Because the second time around? It’s not cold outreach. It’s pre-warmed opportunity. #B2BSales #Outbound #PipelineGrowth #Startups

Most ABM programs fail before the first email goes out. You build a target account list. Load it into a sequence. Hope the timing is right. But the timing is almost never right. Because you're cold. I rebuilt our entire ABM motion around something different. The Warm Path. Before any outreach goes out, we spend 30 to 60 days creating conditions for recognition. The rep's name shows up in the target's LinkedIn feed. The company page is commenting on their content. A relevant piece of content gets served via paid. Maybe a piece of direct mail lands. By the time the first email hits, it doesn't feel cold. It feels like a follow-up. Three steps: 𝗦𝗶𝗴𝗻𝗮𝗹 — identify accounts showing intent or fit. Not just firmographic match. Actual buying signals. 𝗪𝗮𝗿𝗺 — run a coordinated 30 to 60 day presence play across LinkedIn, paid, and direct mail. No outreach yet. 𝗔𝗰𝘁𝗶𝘃𝗮𝘁𝗲 — sales reaches out only after the account has had 3+ touchpoints from different channels. Cold ABM = right account, wrong timing, no context. Warm Path ABM = right account, built context, recognition instead of friction. When we run warm path sequencing before BDR outreach, reply rates on the first touch run 3 to 4x higher than cold sequencing into the same account list. You're not changing who you target. You're changing how you show up before you ask for anything.

Email marketing is dead. That's what everyone said in 2015. And 2018. And 2022. Meanwhile, it's still closing deals. Here's what most people miss: LinkedIn gets you in the door. Email closes the deal. We've been talking about the 5-Channel System for client acquisition, LinkedIn Profile, Content Marketing, and LinkedIn Campaign Outreach. But not everyone lives on LinkedIn. Some prospects check it once a week. Some never respond to DMs. Some prefer email. Why email still works in B2B: → It's direct—no algorithm deciding who sees your message → It's personal—you're in their inbox, not their feed → It's owned—LinkedIn can change the rules tomorrow, but your email list is yours Don't treat email like a megaphone. Treat it like a conversation. The 3 email approaches that work for us: ➡️ LinkedIn-to-Email Bridge You connect on LinkedIn. You have a conversation. Then you move it to email for deeper, more focused dialogue. Now you have permission. And the conversation continues off-platform. ➡️ Warm Re-Engagement You had a conversation with someone months ago. Then life happened. They went cold. Send a warm re-engagement email: "Hey [Name], we talked a few months ago about [specific topic]. I've been thinking about your challenge with [problem]. I just came across something that might help. Want me to send it over?" ➡️ Strategic Email Campaigns This isn't a blast. It's a targeted campaign to a curated list. Segment your list: → Past clients → Warm leads → Event attendees → Content engagers Then send something valuable. Not a pitch. A resource. A case study. An insight. What most people get wrong: They think email is about volume. "Send 1,000 emails and hope 10 people respond." Real email marketing is about nurture. Staying top-of-mind. Building trust. Providing value over time. So when the prospect is ready, you're the first person they think of. Your email list is one of your most valuable business assets. Build it from: → Virtual events → LinkedIn conversations → Content downloads → Discovery calls Then nurture it. Don't let it sit there. Question for you: How are you using email in your client acquisition strategy? #emailmarketing #clientacquisition #b2bmarketing

People don’t buy because they understand your brand—they buy because they feel understood. And great email marketing is more than eye-catching designs; it’s about sharing the right content at the right time to meet customers where they are. Here’s how to tailor your emails to each step in the customer journey: For first-time subscribers, start by introducing your story, sharing social proof, and showing how your products fit into their lives. A warm welcome email sequence can build familiarity and trust, setting you apart from just another brand in their inbox. After their first purchase, don’t stop at a simple “thank you.” Follow up with tips, care instructions, or complementary product suggestions, showing you care about their experience and satisfaction. This not only reinforces their decision but keeps your brand top-of-mind. For returning customers, deepen loyalty by offering exclusive perks, early access, or personalized recommendations. Tailored email content here shows them they’re part of an inner circle, building connection with every message. And for your VIPs—the loyal champions of your brand—treat them to pre-launch access, loyalty rewards, or exclusive content that feels crafted just for them. Ultimately, email marketing done right isn’t just about explaining your product; it’s about helping customers feel understood at every stage of their journey and building lasting connections. If you nail this - you already are miles ahead of your competitors.

Warm vs. cold leads: The right way to blend them Most outbound teams treat cold and warm leads as separate. That’s a mistake. The best outbound engines don’t just send cold emails. They layer cold outreach on top of existing warm signals. Because when someone already knows you, response rates soar. Here’s how I build a warm, all-bound system that works. First, I track warm intent signals: site visits, LinkedIn activity, and engagement. I use tools like Teamfluence™ and Trigify.io to monitor buying signals. If a company is talking about or engaging with posts about a solution, they’re primed to respond. Then, I enrich that data with outbound prospecting. I find the right decision-makers and verify contact details. Now I have two key elements: intent and access. Instead of a cold email, I send a warm one. It references the topic they've engaged with, making it impossible to ignore. Response rates jump. Meetings book faster. Deals close easier. Outbound isn’t about volume. It’s about timing and relevance.

Why send campaigns? We recently spoke with a subscription-based brand that had most of their emails set up as flows, with only 1–2 campaigns going out each month. Flows are fantastic for guiding subscribers through automated journeys. But here’s the catch: once a subscriber finishes a flow, they stop receiving emails - and if you’re not sending campaigns, their profile will go cold fast. Campaigns are what keep your list warm and engaged. They allow you to: 👉 Stay top-of-mind for subscribers who aren’t actively in a flow. 👉 Re-engage segments who didn’t convert. 👉 Test new ideas and messaging to boost engagement and results. This meant that for them, dialing up campaigns wasn't just about sending more emails. It was about: 👉 Activating their engaged segments effectively 👉 Bridging the gap for subscribers who didn't convert during flows And if you’re relying too heavily on flows without enough campaigns, you’re leaving engagement, and revenue on the table (a lot for them, esp since they had a list size of mid 6 figures). How are you approaching campaigns to keep your list warm? Would love to hear what’s been working for you.
