    As GenAI becomes more widely adopted, more companies are turning to it to improve business operations. In a recent tech blog, Uber’s Engineering team shared how they built a platform that tackles the messy world of invoice processing and turns it into a scalable, consistent, and much more efficient process. The core idea is simple: convert inconsistent, unstructured invoices into clean, structured data using a GenAI-powered pipeline. - It all starts with normalization — invoices arrive as emails, scans, PDFs, or mobile photos — and the system standardizes and enhances them so downstream models receive a clearer signal. OCR then converts these cleaned documents into text and passes them to the intelligence layer. - This is where generative AI makes a real difference. Instead of relying on rigid templates, the system prompts an LLM to “read” each invoice like a human, extracting key fields regardless of layout or country. A deterministic validation layer then checks for logical consistency (such as whether line items actually add up), and any uncertain cases are routed to a human reviewer. With GenAI in the loop, every correction becomes training data, improving the system over time. Combined with continuous monitoring and smart model selection, the platform delivers strong reliability and scalability.     E2E Accounts Payable steps :- Processing an Accounts Payable (AP) invoice involves several key steps to ensure accuracy, compliance, quality and timely payments. Here’s a standard workflow we can follow: 1. Invoice Receipt: • Receive the invoice via email, mail, EDI, or supplier portal. • Stamp the invoice with the receipt date (if manual). 2. Invoice Verification - Check the following: • Vendor name and address • Invoice number (unique) • Date of invoice • Purchase Order (PO) number (if applicable) • Description, quantity, and price of goods/services • Payment terms • Tax details (GST, VAT, etc.) • Ensure the invoice is not duplicated. 3. Match the Invoice: • 2-way match: (Service-based PO invoices, recurring purchases & subscriptions etc) Invoice vs. Purchase Order • 3-way match: (Material PO Invoice) Invoice vs. Purchase Order vs. Goods Receipt Note (GRN) Confirm:Quantity received = Quantity billed & Price as per PO= Price on invoice 4. Code the Invoice: • Assign appropriate GL (General Ledger) codes, cost centers, and project codes. • Ensure correct accounting treatment (capital vs. expense). 5. Approval Workflow: Route the invoice for internal approval if required (non-PO or exceptions). • Approval levels may depend on the invoice amount or department policy. 6.     Yesterday I posted a case study on how we reduced a client's time to contract and invoice by 30% and saved them 5-7 hours per week. Here's exactly how: After posting this yesterday, I'm receiving a lot of messages asking how we did it. I thought I'd make a post about this. Here's exactly how we did it: First, we mapped out the process. Before working with us, the company relied on a fragmented and unreliable system. Their order-taking, contracting, and invoicing processes lacked automation, leading to delays, errors, and a poor experience for both their team and clients. Then we optimized it. We designed a fully integrated workflow that begins with a Typeform order form, which feeds directly into Monday and Airtable to manage requests, generate contracts, and track invoices with a Softr interface for easy access to order updates and relevant documents. Then we implemented. The new system helped the sales team save approximately 5-7 hours per week by streamlining client intake and ensuring name cohesion across tools. It also reduced the time it took to send invoices and contracts by about 30%. Finally, we optimized again after implementation. Key features include automated contract and invoice generation, real-time order tracking, and a client-facing portal built with Softr. All of which improved efficiency, accuracy, and the overall client experience. The result? A centralized, user-friendly experience that eliminated manual steps and improved operational efficiency.
